This is what successful onboarding of your team looks like!
Technical preparation
If we are going to onboard new colleagues, we should first check whether they have also received a licence and whether the information that the new colleagues are potentially supposed to search is also indexed. Administrators can check this in our administrator dashboard.
If you are unsure, our support is available at support@ambersearch.de.
✅Checklist:
Users have received a license
If necessary, new content/folders have been released for indexing
User content is fully indexed (see administrator dashboard)
Understanding the problem
As a first step, it is important that new employees understand the purpose of amber. In particular, this involves recognising and identifying use cases.
A use case always consists of a problem that can be solved or improved by amber. We have found that the best general description of the problem is the one we have recorded in this blog article under problem definition.
However, it is better to take examples from your own everyday work:
For example, when I was looking for X last week....
Our colleagues had mentioned Z to me once, I knew we had something on the subject somewhere....
To prepare a presentation, I wanted to look up Y again....
✅Checklist:
The user has a good understanding of the problem and use cases, when to use amber internally.
Solution presentation
We always take our new users live through the most important features of amber. We described what these look like in the last video in this article at the very bottom. Feel free to watch this in advance. In particular, it goes into the functions that help to solve the use cases mentioned above. You can find a complete overview of all functions here. Feel free to scroll through the functions - you might find some you don't know yet...
Technical understanding of amber
In the following we would like to give some examples that are important for understanding how to use amber:
Indexing frequency: amber is always indexed or updated at night. The index is therefore updated daily and if I upload a document to e.g. SharePoint today, I can only find it tomorrow. The same applies to changes in access rights.
User activation: Users must first be activated by the administrator dashboard
Permissions: Both users in the foreground and amber in the background must be authorised to search the desired systems. Especially when new departments with new data sources are onboarded, the access permissions of amber probably have to be adjusted again. A double check is worthwhile here.
Search logic & operators: amber works primarily like Google search - only with internal company content. To search for information, the user can enter a question in natural language or just keywords in amber. amber does not use Boolean search logic, i.e. words can simply be strung together, the rest is done by the AI. Should you nevertheless need to use operators, we have written down an overview of our operators with corresponding explanations here.
✅Checklist:
The most important functions have been addressed
The user understands the logic of the search
The user has developed a basic technical understanding of amber and knows what happens when.
The user knows the various functions, especially those that are particularly relevant to their own use
The user knows where to get help
Integration into the daily work routine
We have found that the success of amber depends, among other things, on its integration into the user's daily work routine. For this reason, we have developed various integration options that the user can integrate independently. An overview of the integration possibilities can be found here. We consider the following contributions to be particularly relevant:
✅Checklist:
The user has integrated amber into his daily work routine accordingly and has integrated 2-3 of the presented methods into his daily work routine
